Camps and Group Booking Coordinator

Phillip Island Camps focuses on developing a child’s love for the outdoors through challenging and fun activities.  Our award-winning accommodation facilities and school camp programs are catered towards cultural and indigenous awareness, environmental consciousness and sustainability. Our school camp program outcomes can be mapped to the Victorian curriculum to help schools meet their curriculum needs

As Camps and Group Booking Coordinator, you will play a crucial role in supporting the delivery of programs, operations and execution of successful school and group stays.  Working closely with the Groups Booking Manager & Operations Manager, your job is to ensure the smooth implementation of all activities and foster a positive experience for campers. It’s a fun and varied role for an energetic person with an opportunity to be involved in exciting, world-class programs.

Your Duties and Responsibilities will include:

Program Planning and Logistics 

  • Coordinate all operations of school camps including program design, subcontractor liaison, school marketing and outcome- based programming 
  • Ensure client requirements, needs, comfort and satisfaction whilst at camp. 
  • Liaise with schools/groups before, during and after camps as required. 
  • Deliver welcome and safety briefings to all guests on arrival. 
  • Provide support during check-in/check-out procedures for teachers and group leaders. 
  • Bring your imagination and ideas for other fun camp activities! 

 Customer Service 

  • Use effective communication skills to build rapport and foster positive relationships with teachers and group leaders during the planning stages of their camp. 
  • Provide friendly and welcoming customer service to guests upon arrival and check in with them regularly throughout their stay.
  • Assist in handling customer enquiries, questions, and complaints. 
  • Be flexible around hours to meet the operational needs of the schools/groups visiting.
  • Other duties as directed.

Qualifications

  • A tertiary qualification in Education, Sports Management or Administration, or a similar field would be an advantage
  • Current First Aid and CPR Certificate (or willingness to obtain at UC expense)
  • Current Driver’s License (you will be driving a Ford Transit Van and a VW Caddy – standard license only required and green P’s considered)
  • Current Working with Children Check (or willingness to obtain upon hire)
  • Police Check (or willingness to obtain upon hire)

About You

Your experience will include:

  • A strong track record of working with children in camp, school or recreational settings, or a similar field would be an advantage.
  • Excellent written and spoken English communication skills. 
  • A high level of computer literacy in Microsoft Office Suite and the ability to learn new programs as required
  • Excellent time management and multi-tasking skills.
  • The ability to engage with and communicate with people of all ages and levels.
  • Friendly interpersonal skills and high energy levels.
  • The proven capacity to manage several projects simultaneously. 
  • An eye for detail and proven problem-solving skills.
  • A positive, flexible, creative thinking, inclusive and ‘can do’ attitude.
